We are looking for a full-time Marketing & Administrative Assistant to join our growing team. Marketing & Administrative Assistant - Job Description

THE OPPORTUNITY: 

This role combines administrative support, marketing coordination, and team culture.​ You will work closely with Operations and Sales to help keep systems organized, communication flowing, content moving, and the team feeling supported. 

Some days, you may be organizing Google Drive folders, supporting estimate preparation, helping with inboxes, updating a CRM, or coordinating supplies.​ Other days, you may be creating a Canva graphic, helping capture behind-the-scenes moments, organizing team appreciation, scheduling content, or booking the next team-building activity.

Yes, we are looking for an awesome person who can spot a typo, make a Canva graphic, organize a messy Google Drive folder or file cabinet, answer an email professionally, understand why a TikTok trend is already dead, pick the best Costco snacks, support the operations team, cheer on the crew, and help make team culture feel intentional, all in the same day.

KEY RESPONSIBILITIES:

  • Administrative Support

    • Assist with managing company inboxes and client communication

    • Support and organize CRM, estimate preparation, digital files, and internal documents

    • Maintain organized office systems and workflows

    • Support scheduling coordination when needed

    • Provide backup administrative support when Operations is away

    • Track fleet maintenance schedules, reminders, and operational deadlines

    • Coordinate inventory, supply ordering, equipment repairs and maintenance, vendor drop-offs/pickups

  • Marketing & Brand Support

    • Create, edit, schedule, and publish content across Instagram, Facebook, LinkedIn, stories, newsletters, and marketing campaigns

    • Organize and manage photo and video content collected from the team

    • Support video content creation, including coordinating shoots and preparing content for posting

    • Respond to DMs, comments, and community engagement across social platforms

    • Research social trends, influencer opportunities, community partnerships, and outreach opportunities

    • Help coordinate promotional campaigns, brand initiatives, and approved marketing ideas

    • Generate content ideas that align with the brand voice and business goals

  • Team Culture & Engagement

    • This role will also play a key role in supporting a positive, organized, and welcoming team environment:

    • Help organize birthdays, celebrations, and team appreciation and engagement initiatives

    • Coordinate office and team events

    • Assist with client gifting and thoughtful gestures

    • Support Slack engagement and internal culture initiatives

REQUIRED EXPERIENCE:

  • 1–2 years of experience in marketing, communications, administrative support, office coordination, or customer service, including internships, volunteer experience, or other entry-level roles.

  • Experience working in hospitality, trades, tourism, or small business environment.

  • Related social media, design and marketing support experience (ex: Instagram, Canva, CapCut, Slack).

  • Experience with Google Drive, spreadsheets, email management, or CRM systems.

  • Education or currently working towards a post-secondary degree or diploma in Marketing, Business Administration, Communications, or a related field preferred.

  • Must have legal authorization to work in Canada on a full-time basis for any employer. 

  • Has a valid Class 5 drivers license and reliable vehicle.

COMPENSATION & SCHEDULE:

  • $42,000–$45,000/year based on experience

  • Monday to Friday | 7:30 AM – 4:00 PM

  • In-person role | 4030 8 St SE, Calgary

  • Hybrid flexibility may be discussed after probation

  • $500 annual Health Spending Account after probation
