PEOPLE + OFFICE Administrative Assistant

At :AM CLEANING YYC, cleaning is not a commodity. It is skilled work, thoughtful care, and a profession worth taking pride in.

We are redefining what a cleaning company can be in Calgary. In most of this industry, the work gets treated as invisible – lowest bid wins, technicians burn out and move on, and the quality you got last week is a gamble the next. We run it the other way. Clients get hospitality, an eye for detail, and a standard that holds visit after visit. Our technicians get respect, encouragement, real training, and a workplace they actually want to stay in. Care on both sides of the door.

We believe culture doesn't happen because values go up on a wall – it happens in the small things: how we communicate, how we solve problems, how we celebrate people, and how we handle mistakes. We're looking for someone who wants to help us protect and grow that. We're looking for a reliable person to support our Operations Coordinator and founder keep it all running. You'd keep our office humming, keep our team feeling looked after, and add a little polish to how we show up online. It's part admin, part culture, part light marketing – a mix that suits someone who likes variety and quietly makes things better wherever they land.

People & Office Administrative Assistant

THE OPPORTUNITY:

This role combines administrative support and team culture with a hint of marketing. You will work closely with Operations and Sales to help keep systems organized, communication flowing, content moving, and the team feeling supported.

Yes, there will be office administration. Emails, support with scheduling, follow-ups, paperwork, all the things that keep a busy company moving. But this role is more about the person than the task list. We want someone who walks in ready to improve things, notices when something isn't working, and doesn't wait to be asked to fix it. Someone who enjoys people, brings energy into a room, champions our culture, and helps make :AM CLEANING YYC a place people are proud to work. And someone who gets that in a growing small business, the answer to "Is this technically my job?" is sometimes "Probably not… but I can take care of it."

Yes, we are looking for an awesome person who can spot a typo, make a Canva graphic, organize a messy Google Drive folder or file cabinet, answer an email professionally, understand why a TikTok trend is already dead, pick the best Costco snacks, support the operations team, cheer on the crew, and help make team culture feel intentional, all in the same day.

KEY RESPONSIBILITIES:

Your days won't all look the same. Depending on what's happening in the business, you might be:

  • Keeping the office and our systems organized – scheduling, files, invoicing, follow-ups, everyday admin

  • Being a warm first point of contact for clients/team by phone, email, and text. Get your customer service voice ready!

  • Supporting our cleaning technicians and helping them get what they need to succeed out in the field

  • Organizing team meetings, celebrations, recognition, and company initiatives

  • Championing our culture and bringing positive energy to the team

  • Handling very light marketing internally with simple graphics, keeping our online presence current during special events

  • Keeping records, documentation, and internal systems accurate and up to date

  • Supporting our People & Office Operations Coordinator day to day, and communicating with clients, employees, and vendors

  • Improving a system when you notice it could work better

  • Taking projects from "we should really do something about this…" to done

  • Occasionally handling something that wasn't on anyone's to-do list that morning

YOU MIGHT BE OUR PERSON, IF YOU ARE:

1. You care about the details

You notice the typo, the crooked Canva spacing, the messy Google Drive folder, the unanswered email, and the little things that make a big difference. You understand that details are not “extra” here, as they are part of how we show care.

2. You make things look and feel intentional

You appreciate aesthetics, branding, content, and visual storytelling. You understand that how something looks, reads, and feels matters, whether it is a social post, a client email, a file cabinet, a team event, or a behind-the-scenes video.

3. You support the team, not just the task

This role is not only about admin and marketing. It is about helping the office run smoothly, cheering on the crew, capturing precious day-to-day moments, and making team culture feel thoughtful. You enjoy being the person who helps others do their best work.

4. You take initiative

You do not wait to be told every single step. You can spot what needs to be done, ask smart questions, and move things forward. You are comfortable in a fast-paced small business where common sense, ownership, and follow-through matter.

This probably isn't your role if:

  • You prefer every task clearly assigned before you start

  • You need a detailed job description to decide if something is "your responsibility"

  • You're uncomfortable making decisions without approval
